Description
Provides administrative and clerical support to relieve department managers or staff of administrative details. Researches, compiles and proofs word processing assignments. Prepares reports, graphs and presentations using spreadsheet and graphics software. Maintains alphabetical, numerical or subject filing systems. Screens calls and takes messages. Makes appointments and travel arrangements. Prepares purchase orders, check requests, expense reports. Orders office supplies. Sorts mail. Operates automated office equipment. May perform routine analytical tasks. Acts as an information source on organizational policies and procedures. May assist in establishing office policies and procedures. May coordinate special projects and department activities. May assist with video-conferencing arrangements/operation. May perform some web publishing duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Research, compile and proof complex word processing assignments including letters, reports, graphs and presentations using document, spreadsheet and graphics software
Screen phone calls and take messages
Arrange conference calls
Send/receive facsimiles
Make copies and/or coordinate resources for duplicating/binding
File
Schedule appointments
Make travel arrangements
Order office supplies
Prepare purchase orders, check requests, expense reports, travel authorization requests, etc
Sort mail
Provide information on organization policies and procedures
In advance of group meetings, ensure meeting room is properly equipped (overhead projector, dry erase markers, etc) and materials are prepared
Perform routine or moderately complex analytical tasks
Arrange catering for meetings as directed
Some positions may be responsible for basic html formatting and posting content to web pages
